IMPORTANT INFORMATION:

Required Forms for All Participants

We require a form for every individual being photographed, including:

• Players who place an order
• Players who do not place an order
• All coaches

Each person must have one of the following:

• Online order confirmation (printed)
• Paper order form (here) 
• Team Picture Only Form (can be found here - print this form if you are not ordering personal photos. This is so your player is still in the team photo)
• Coach Picture Form (can be found here - print this form and complete if you are a coach)

TLL is a large league with multiple sports. Without accurate and complete information, errors are very likely.
For this reason, a physical form is required for every individual being photographed.
If an order is placed online in advance, a printed copy of the order receipt must be brought to picture day.
If not, a paper order form must be completed on-site.

We strongly recommend placing orders online in advance and bring a printed copy of the order receipt to help speed up the process.

Photos Taken Based on Forms

Our photographers will only take photos indicated on the order form.

• If a buddy photo or additional poses are not ordered, they will not be taken
• If a parent plans to order later but did not order before the photo is taken, they will not be able to choose the pose
• In that case, we will use the image captured during picture day

Taking extra or unordered photos slows down the process and places additional strain on our staff.

We will strictly follow the order form this year.

Challenger Team

• No specific time is assigned this year
• Players may come any time between 8:40 AM and 1:45 PM
• They will be photographed across all stations upon arrival
• Challenger players will be given priority access (*all TLL coaches, you must be aware of and respect this)

To avoid confusion or frustration, we are clearly communicating this in advance.

Important:
Challenger players should not arrive between 7:30 AM and 8:30 AM.

Arriving on Time

Teams should arrive early enough to check in and be ready for their scheduled time.

• We cannot photograph teams earlier than scheduled
• Arriving too early or too late disrupts the entire schedule
• Teams that miss their scheduled time will be required to wait for the next available time slot and may be photographed across multiple stations separately, rather than at a single designated station. 

We experienced delays last year, so your cooperation is greatly appreciated.

Photo Station Access

The photo station area is restricted to players and coaches only.

• Parents are not allowed inside the photo station area
• Our staff will escort teams into the photo area when they are ready
• The check-in table will be located outside the field with controlled entry

Exception:
Challenger parents may assist if needed but must check with staff first.

Respect for Staff

Please treat JCTP staff with respect.

Their staff:
-Are hired specifically for this event
-Are trained for their assigned roles only
-May not have answers to every situation

If there are questions or concerns, please complete a contact request card, and we will follow up after picture day.

Sports picture day is a long and physically demanding day to their staff:

• They arrive around 5:00 AM
• They work continuously until 4:00–5:00 PM

We appreciate everyone’s patience, understanding, and kindness.

Coaches with Scheduling Conflicts

Some coaches have tight schedules between games and photos. While we have made every effort to minimize conflicts, this was not always possible.

For coaches with multiple teams:

• Coach photos may be taken during any one of their team’s scheduled photo times
• They may take multiple coach photos or one photo to be used for multiple teams

Please refer to the recommendations which will be emailed separately to impacted coaches.
